Rental Terms
All vehicle rentals are governed by a comprehensive Rental Agreement, which you will receive upon booking confirmation or at the time of vehicle collection. This document outlines the specific terms, conditions, insurance coverage, fees, and your obligations related to the rental. In case of any discrepancies between these Terms and the Rental Agreement, the Rental Agreement will prevail.
Eligibility Criteria
Rental Requirements at Harlow
- To hire a vehicle from Harlow, you must be at least 21 years old, though age limits may differ depending on the vehicle class, with possible extra fees for drivers under 25. You need a valid driving license suited to the vehicle type, held for the minimum duration outlined in the Rental Agreement. Please present valid identification and proof of your current address. Valid payment details and a security deposit are required, along with any other stipulations mentioned in the Rental Agreement.
3. Reservations and Payments
- Reservations can be arranged via our website, by phone, or directly at our Dartford office. A deposit may be necessary to confirm your booking. The remaining balance and security deposit are generally required at the time of vehicle pickup. All rates are presented in British Pounds (£) and include VAT where applicable. We accept major credit and debit cards, with secure processing by trusted payment providers.
Vehicle Pickup and Drop-off
- At the time of collection, it is important to conduct a thorough inspection of the vehicle and report any pre-existing damage right away. A vehicle condition report will be completed and signed to document the state of the car. You are expected to return the vehicle in the same condition as it was collected, accounting for standard wear and tear. Any new damage will be evaluated and charged accordingly. Please return the vehicle with the same fuel level as when you picked it up; refueling fees will be applied if the fuel level is lower. If you anticipate a late return, contact us immediately, as additional charges may apply. You will be responsible for any parking fines, traffic violations, or charges incurred during your rental, along with an administration fee.
Insurance and Liability Terms
- All rentals include basic third-party insurance. The specifics regarding coverage and excess amounts are outlined in the Rental Agreement. There may be options for additional insurance to lower your financial liability, and we suggest reviewing these options thoroughly. You remain accountable for any damage or loss up to the excess amount unless additional coverage applies. If damage results from negligence, misuse, or violation of these Terms, you will be liable, regardless of insurance.
Cancellation and Modifications
Cancellation and amendment policies depend on the type of booking and the notice period provided. For precise information, consult your booking confirmation or Rental Agreement. Be aware that late cancellations or failure to show up may incur additional charges.
Prohibited Activities
Prohibited Vehicle Uses
- The vehicle must not be used for illegal activities or purposes. This includes racing, rallying, off-roading, or engaging in any hazardous driving. Transporting dangerous materials is prohibited. Sub-letting the vehicle or allowing unauthorized drivers is not allowed. Driving under the influence of alcohol or drugs is strictly forbidden. The vehicle should not be used for purposes it was not designed for, and exceeding passenger or weight limits is unacceptable. Operating the vehicle outside of the agreed geographical boundaries requires prior authorization.
Breach of these terms may lead to rental cancellation and fees.
Liability Restrictions
To the fullest extent allowed by English and Welsh law, Harlow Car Hire will not be responsible for any indirect, incidental, special, or consequential damages, including loss of profits, data, or business, resulting from your use of our services. Our maximum liability for any claims will not exceed the total amount paid for your rental in the past 12 months. This limitation does not apply to claims for death or personal injury due to negligence, or for fraud.
9. Applicable Law
These Terms are governed by the laws of England and Wales. Disputes will fall under the exclusive jurisdiction of the courts in this region.
10. Updates to Terms
Harlow reserves the right to update these Terms at any time. Changes will take effect as soon as they are posted on our website. Continued use of our services indicates acceptance of the revised Terms.
